Joining Letter Format
Joining letter and joining report format for Indian companies, schools and government offices — with a Hindi version.
Two different documents share this name
In Indian usage, 'joining letter' means one of two things depending on who is writing it, and searching for a template without knowing which one you need is how people end up sending the wrong document.
When the employer writes it, a joining letter confirms that you are being taken on and tells you when and where to report — effectively a condensed appointment letter, common in schools, hospitals, small firms and government offices. When the employee writes it, a joining letter (more precisely a joining report) is the note you submit on your first day confirming that you have reported for duty on a specific date.
Government and school employment leans heavily on the second. A joining report with a date stamped and acknowledged by the office is what starts your service record, decides your seniority, and later determines increments and pension calculations. In those settings it is not paperwork — it is the document your entire service is measured from, which is why the acknowledged copy matters as much as the letter.
What the employee's joining report must contain
Date of the report. Your full name and, if you have one, employee code or roll number. The post you are joining and the department or school. A reference to the appointment or offer letter — its number and date — because that is what links you to a sanctioned post. The forenoon or afternoon on which you reported, which sounds pedantic and is standard in government service because increments are computed from it. Then your signature.
Then the part people forget: get it acknowledged. Ask the office to sign, stamp and date a copy, and keep that copy. In government and aided-school employment, an unacknowledged joining report is a claim without evidence, and reconstructing a joining date years later during a promotion or pension calculation is genuinely difficult.
Attach whatever the appointment letter listed — usually educational certificates, ID proof, previous relieving letter, medical fitness certificate, passport photographs and, in government service, a caste or EWS certificate where a claim was made.
What the employer's joining letter should contain
Company or institution letterhead, reference number and date. The candidate's name and the post offered. The date and time to report, and the exact address, which matters more than it sounds when an organisation has several campuses or branches. The reporting authority's name. The documents to bring. Probation period, if any. A line stating that the detailed terms will follow in the appointment letter, unless this letter is itself the appointment letter.
For schools, add the academic session the appointment applies to, the subject and classes, and whether the post is regular, contractual or leave-vacancy — the last one is routinely left vague at joining and routinely disputed later.
Issue it in a form the candidate can forward: a scanned PDF on letterhead. A candidate who is resigning elsewhere frequently has to show a joining letter to their current employer to negotiate an early release, and a photograph of a printout is a weak document to negotiate with.
The Hindi version, and when to use it
Hindi joining letters (कार्यभार ग्रहण पत्र) are standard in state government offices, Hindi-medium schools and many public-sector establishments in the Hindi belt. Where the appointment letter came in Hindi, reply in Hindi; where it came in English, English is safe.
The structure is identical — date, post, reference to the appointment order, date of reporting, signature. The one thing worth getting right is your name and the post name matching the appointment order exactly, in the same script. A name transliterated differently between the appointment order and the joining report is the kind of small mismatch that stalls a file for weeks.
If you are unsure, the safest approach in a government office is a bilingual submission: the Hindi letter, with an English copy attached. Nobody objects to a file with more clarity in it.
Both directions, plus the Hindi version
Use the first if you are joining. Use the second if you are the employer. The third is the same as the first, in Hindi.

Step-by-step
- 1.Confirm which document is being asked forEmployer-issued joining letter, or your own joining report? They are different documents with the same name.
- 2.Quote the appointment orderReference number and date, in the first line. That is what links you to a sanctioned post.
- 3.State the exact date and forenoon or afternoonDD/MM/YYYY plus forenoon or afternoon. Increments and seniority are computed from it.
- 4.List the documents you are enclosingNumbered, matching the annexure of the appointment letter. Self-attested copies where required.
- 5.Get it acknowledged before you leave the roomSignature, stamp and date on your copy. Keep it with your appointment letter permanently.
- 6.Ask for the appointment letter if it has not arrivedThe joining letter is not the contract. Notice period, probation and termination live in the appointment letter.
FAQ
Two things, depending on who writes it. From the employer, it confirms your appointment and tells you when and where to report. From you, it is a joining report submitted on your first day confirming you assumed charge on a specific date. Government and school employment mostly means the second.
The joining letter is about reporting for duty — date, time, place, documents. The appointment letter is the employment contract: probation, notice period, salary structure, termination. If you have only received a joining letter, ask for the appointment letter as well.
Same structure as English — date, subject, reference to the appointment order number and date, the date you are assuming charge, and your signature. Keep your name and the post name spelled exactly as they appear in the appointment order; a transliteration mismatch stalls files.
Because increment dates and seniority in Indian government service are computed from the exact point of joining. It looks like a formality and is not one.
Whatever the appointment letter's annexure lists — usually educational certificates, ID proof, photographs, the previous employer's relieving letter and experience certificate, a medical fitness certificate where required, and a category certificate where a claim was made. Carry originals and self-attested copies.
Yes. Ask again in writing the same week. Your joining date is the base for seniority, increments and eventually pension, and reconstructing it years later from memory is a genuinely hard administrative problem.
