A resignation letter is a record, not a conversation

You have already told your manager, or you are about to. The letter is not where that conversation happens — it is the document that goes into your personnel file, gets attached to your full-and-final settlement, and is the thing HR reads two years later when a background-verification agency calls to confirm how you left. Write it for that reader, not for the manager you are annoyed with.

Which is why the good ones are short. Four or five sentences: that you are resigning, the position, the last working day you are proposing, a line of thanks, and an offer to hand over. Everything else — why you are leaving, what went wrong, where you are going — belongs in a conversation and nowhere near the file.

The single most consequential line is the date. Write both the date you are submitting and the last working day you are proposing, calculated from your notice period. Ambiguity here is what turns a clean exit into a dispute about whether you served notice.

Notice period: what your contract actually binds you to

Indian notice periods commonly run 30, 60 or 90 days, and the number is in your appointment letter, not in convention. Read the clause before you write the letter, because it usually also says whether the company can waive it, whether you can buy it out, and at what rate — typically your gross salary for the unserved days, sometimes basic only.

Buyout is negotiable more often than people assume, particularly when your replacement is already identified or you are willing to complete a specific handover. Ask in the conversation, then reflect whatever was agreed in the letter: 'as discussed, my last working day will be 30 September 2026, with the remaining notice period waived by mutual agreement'. Putting the agreement in writing is what makes it real.

If you want to leave immediately, say so plainly and accept that it has consequences — the company may deduct the buyout amount from your settlement, and it may reflect on your relieving letter. An immediate resignation is a legitimate thing to do; pretending it is not what you are doing is what causes problems later.

What NOT to put in it

No grievances. Not a paragraph about the manager, not a line about the appraisal, not an implication. A resignation letter with a complaint in it is a document the company keeps and you cannot take back. If you have a real grievance, raise it separately through the process that exists for grievances.

No new employer's name, no new salary. It is not their business, and naming the company sometimes triggers a non-compete conversation you did not need to have.

No conditions. 'I am resigning unless the counter-offer improves' is not a resignation and reads as a negotiating tactic. Decide first, then write.

No emotion, positive or negative. A warm thank-you line is right; three paragraphs about the journey is not. Keep the letter boring — that is the whole design goal.

Delivery, acknowledgement, and the paper trail that protects you

Email is standard, and email is also your evidence. Send it to your reporting manager with HR in copy, from your work address, with a clear subject line: 'Resignation — [Your Name], [Employee ID]'. Attach a signed PDF if your company still wants a physical letter, but send the email regardless.

Ask for an acknowledgement in the same message: 'kindly acknowledge receipt and confirm my last working day'. That reply is the document that proves when your notice started. If nobody responds in two working days, follow up in writing rather than in person.

Then keep three things: this letter, the acknowledgement, and the relieving letter and experience certificate you collect at the end. Those three cover almost every question a future employer's verification will ask, and chasing them after you have left is far harder than asking while you are still on the payroll.

The variants people actually search for

Short and formal, for a normal exit with notice — the default, and the one below.

Immediate effect, where you cannot serve notice. State the last working day as the submission date, acknowledge the notice clause, and offer whatever handover is realistic. Do not invent a reason.

Personal reasons, where you would rather not explain. 'Due to personal reasons, I am resigning from my position' is complete and sufficient. You do not owe more, and adding a vague reason invites follow-up questions.

Teacher resigning to a principal, which follows the same structure but usually needs the academic calendar respected — resigning mid-session is treated far more seriously in Indian schools than mid-quarter is in a company, and the letter should name a last working day tied to a term end where you can manage it.

Replace the bracketed parts. Do not add paragraphs — the shortness is the point.

Subject: Resignation — [Your Name], [Employee ID]

Date: [DD Month YYYY]

To,
[Manager's Name]
[Designation], [Company Name]

Dear [Mr./Ms. Surname],

I am writing to formally resign from my position as [Designation] at
[Company Name]. As per my notice period of [30/60/90] days, my last
working day will be [DD Month YYYY].

I am grateful for the opportunities I have had here and for the support
of the team. I will complete a full handover of my responsibilities and
documentation before my last working day, and I am happy to assist in
training my replacement.

Kindly acknowledge receipt of this letter and confirm my last working day.

Sincerely,
[Your Name]
[Designation] · [Employee ID]
[Phone] · [Personal email]

-- IMMEDIATE-EFFECT VARIANT (replace the second paragraph) --

Due to unavoidable personal circumstances, I am unable to serve my notice
period and request that my resignation be accepted with effect from
[DD Month YYYY]. I understand the terms of my appointment letter regarding
notice and am willing to discuss the applicable settlement.

Mistakes that get this format rejected

Explaining why you are leaving, in writing
The letter goes in your file permanently. Reasons belong in the conversation. 'Due to personal reasons' is a complete sentence and nobody is entitled to more.
Not stating a specific last working day
Write the exact date, computed from your notice period, in the first paragraph. Without it, when notice started is arguable — and it will be argued at settlement.
Sending it only to your manager
Copy HR from your work email. A resignation acknowledged by one person who then goes on leave is a resignation that officially never arrived.
Using the letter as leverage for a counter-offer
A conditional resignation is not a resignation, and it permanently changes how you are seen even if you stay. Decide, then write.
Leaving without collecting your documents
Relieving letter, experience certificate, no-dues, Form 16 and PF details. Ask for all five in writing before your last working day — after you leave, you are a stranger to that HR inbox.

Step-by-step

  1. 1.
    Read your notice clause first
Your appointment letter states the notice period, whether it can be waived and at what rate a buyout is calculated. Everything in the letter depends on this.
  2. 2.
Tell your manager before you send anything
A letter that arrives before the conversation reads as an escalation. Talk first, agree the last working day, then put it in writing.
  3. 3.
    Write four short paragraphs
Resigning and the position; last working day; thanks and handover offer; request for acknowledgement. Nothing else.
  4. 4.
Email it to your manager, copy HR
Subject line with your name and employee ID. Attach a signed PDF if a hard copy is expected, but send the email regardless.
  5. 5.
    Get the acknowledgement in writing
Ask them to confirm receipt and the last working day. That reply is your proof of when notice began.
  6. 6.
    Run the handover properly
Document it — a written handover note listing what you owned, its current state and who is taking it. It is what a good relieving letter is written from.
  7. 7.
Collect every document before you go
Relieving letter, experience certificate, no-dues, Form 16, PF and UAN details. Ask for all of them in writing while you are still on the payroll.

FAQ

How do I write a short resignation letter?

Four sentences: that you are resigning and from which role, your last working day computed from the notice period, a line of thanks and an offer to hand over, and a request to acknowledge. Anything longer is usually you explaining yourself to a file.

Can I resign with immediate effect in India?

You can submit it, but your appointment letter's notice clause still applies. Expect the company to either waive the notice or recover the unserved days from your full-and-final settlement. State the position honestly in the letter and discuss the settlement rather than hoping it is not noticed.

Should I mention why I am leaving?

No. 'Due to personal reasons' is sufficient and complete. Written reasons stay in your file, cannot be withdrawn, and occasionally get quoted back to you during background verification.

Do I have to give the letter on paper?

Email is standard and is also your evidence of when notice started. If the company wants a physical copy, sign a PDF and attach it to the same email rather than replacing the email with it.

What if my manager refuses to accept my resignation?

Acceptance is not what starts your notice — submission is. Send it to HR in the same thread, ask for written acknowledgement, and follow up in writing rather than verbally. Keep the whole chain.

What is the difference between a resignation letter and a notice period letter?

They are usually the same document — the resignation letter states the notice you are serving. A separate notice-period letter shows up when the notice terms are being renegotiated, waived or bought out, and needs the agreed terms written down.
